Winning PayPal disputes and chargebacks: case file, evidence, response and reporting
A PayPal dispute is not decided by who is right, but by what the seller managed to show before the deadline and how they put it. PayPal Dispute Assistant runs the dispute from the buyer’s first message to the verdict: it builds the case, shows what is missing from it, writes the response and counts what the work cost.
The problem
A dispute is money on hold and a clock running. The response gets written in a hurry, the one piece of evidence that would settle it sits in someone else’s tab, and the wording is new every time because every agent writes their own. Lost cases are recorded nowhere, so the team walks into the same wall again.
What PayPal Dispute Assistant does
- A case file per dispute - order data, both tracking numbers, delivery date and place, evidence sorted by category. Cases arrive from PayPal over the Developer API, with nothing retyped by hand.
- A readiness check - it shows which evidence categories are missing for this dispute type and whether the transaction still qualifies for seller protection: does the delivery address match the one on the transaction, is there confirmed handover, are you inside the response window. Separately, it raises a red flag when the case is cheaper to refund than to lose with costs on top.
- Seventeen response templates - filled from the case, held to the Resolution Center limit and always in English. A claim with no document behind it never reaches the letter.
- An AI composer for hard cases - where a template doesn’t fit the situation, the system finds what is worth building on and assembles the letter around it.
- Learning from your own cases - it draws on your won cases of the same type, and every loss is analyzed and explained. The longer it runs on your flow, the more precisely it writes.
- Screenshots become a case - a batch of screenshots is read automatically, sorted by category and enters the case with one confirmation, with no retyping of numbers and dates.
- Work ledger, report and invoice - hours and complexity by day; the month folds into a report and an invoice that freezes the period and warns you if the data underneath it changed.
The AI that wins disputes
A dispute is text against text, and it is won by whoever finds the weak spot in the buyer’s position and backs their own with a document. The system does both: the letter draws on your own won cases, with your delivery geography and your carriers, and every loss is turned into a rule for the next time. PayPal disputes and chargebacks
Some cases don’t come through PayPal at all: the cardholder goes to their issuing bank, and the decision is made by that bank under card network rules, not by the platform’s support. The same goes for payments taken in the store: a Shopify Payments chargeback is decided by the bank, and the merchant has to file evidence inside the window given or the case closes without them.
For the seller that is a different game: a different addressee, different timeframes and a different set of evidence. A bank is not moved by argument, it wants formal proof - delivery to the same address the payment came from, matching payer details, the buyer’s IP, confirmed handover.
The system runs the case regardless of where the payment went through. The case file is built the same way: payer data, the delivery address and place, both tracking numbers, the IP and the categorized evidence all sit together, so a chargeback doesn’t send anyone hunting for what nobody kept. The letter is then written for whoever decides: formal proof by the rules for the bank, work on the substance of the complaint for PayPal support.
The buyer has a purchase protection program behind them. The buyer has their bank behind them. The seller has only the evidence they managed to keep, and a protection program that switches on solely when that evidence is right. We stand on the seller’s side.
More than the money in one case
A payment provider tracks your dispute rate: the share of disputed amounts in your net sales over the last three months. Cross the threshold and the fee on every dispute goes up, and that fee is not refunded even when you win the case. Alongside it come reserves held on the account, delays in withdrawing funds and closer scrutiny: money you have already earned sits frozen instead of working.
Two things decide this. A dispute the seller doesn’t answer in time closes in the buyer’s favor automatically, with no review on the merits: a loss without a fight and a full refund. And the rate counts cases that escalated into claims, so a dispute settled early never reaches it at all.
That is exactly what the system works on. The deadline of every case is in plain view rather than in somebody’s memory, so the share of unanswered disputes trends to zero. Cases that are cheaper to refund are flagged separately while they are still disputes.
There is a second line of defense too: a lost case doesn’t always mean lost money. On the dispute types the seller protection program covers, the provider absorbs the loss, but only when every one of its conditions is met: the item shipped to the address on the transaction, confirmed handover from the carrier, the response filed in time. The system checks the case against those conditions before the response goes out and shows what is missing while it can still be fixed. A detail missed here costs exactly as much as the dispute itself.

Data and security
Two-factor authentication is mandatory for everyone, passwords are stored to the current standard, and guessing leads to a blacklist. Cases, evidence and the work ledger live on our servers, separate from every other client’s data. Only what the letter cannot be written without ever leaves, and that data is not used to train anyone else’s AI. Buyer information is not passed to third-party services.
How it starts
We need access to your disputes and a handful of closed cases, so the system picks up your specifics: the product, the delivery geography, the carriers, the refund policy. After that the team works in its usual rhythm, except every dispute is now run by the system.
